What to Ask on an Event Venue Tour: A Checklist for Carolina Event Planners
A venue tour helps you picture your event—but it should also help you understand the space, the costs and the details that will make your day run smoothly.
Before booking an event venue, ask about capacity for your specific layout, rental inclusions, catering requirements, audiovisual equipment, setup time and booking deadlines. Bring your estimated guest count, preferred dates and budget so the venue team can guide you toward the right options.
Whether you’re planning a wedding, corporate meeting, church banquet or family celebration, here’s what to ask during your tour.
1. What room fits my guest count and event layout?
Start with how you plan to use the room. A seated dinner with a dance floor needs a different layout than a training session, vendor market or ceremony.
Ask: “How many guests will fit comfortably with everything my event needs?”
Consider space for:
A stage, DJ or entertainment
Buffet tables and beverage stations
A dance floor
Registration or vendor displays
Accessible aisles and guest movement
At Gateway Conference Center in Richburg, South Carolina, options include the Grand Ballroom, Grand Salon and smaller meeting spaces. Ask to see the rooms and a suggested configuration for your event. You can also explore Spaces & Pricing before your visit.
2. What is included in the rental price?
A clear quote helps you build a realistic budget. Ask which furnishings, setup services and amenities are included—and which services cost extra.
Useful questions include:
Are tables, chairs and the initial room setup included?
Are linens, staging or upgraded chairs available?
Does the quote include every room I will need?
Are staffing, room changes or cleanup additional?
Gateway Plus offers optional services such as linen rental, Chiavari chairs, coffee and tea service, room flips and post-event cleanup. Discuss your priorities during the tour so your quote reflects the help you need.
3. Can I bring my own caterer?
Food service affects your budget, schedule and floor plan. Ask about outside catering, vendor documentation and the spaces available for food preparation and service.
At Gateway, food vendors must provide the required business licensing and insurance documentation. Discuss those requirements before committing to a caterer.
If you plan to serve alcohol, ask about bartender, insurance and security requirements early. Those arrangements belong in your planning timeline and budget.
4. What audiovisual equipment is available?
For meetings, presentations and celebrations, explain exactly what you plan to show or play.
Ask about microphones, screens, sound connections and technical assistance. Confirm which devices, cables or adapters you need to bring.
Gateway uses HDMI-based connections, so discuss your laptop and adapter needs with the team. If your event includes a slideshow, video, remote speaker or livestream, walk through those plans during your visit.
A quick equipment conversation now can prevent a last-minute scramble on event day.

5. How much time will I have for setup and cleanup?
Your timeline should include more than the hours guests will be in the room.
Ask when decorators, caterers and other vendors can arrive, when deliveries can be made and when everything must be removed.
If your event needs two layouts—such as a ceremony followed by a reception—discuss the transition, staffing and any room-flip charges.
Previous-day access should always be confirmed. Availability depends on the venue’s event schedule.
6. What will the experience be like for my guests?
Walk through the event from a guest’s perspective.
Where will people park and enter? How will they find the correct room? Where should registration, welcome signs or a seating chart go?
For regional events, location matters, too. Gateway is located just off I-77 between Charlotte and Columbia, making it a convenient meeting point for guests traveling from different parts of the Carolinas.
Ask about accessibility and nearby accommodations if those are priorities for your group.
7. What do I need to do to reserve my date?
Before leaving, make sure you understand the next steps.
Ask about date availability, the booking deposit, payment deadlines, insurance requirements and when your final layout is due. Request a written quote that identifies your space, rental period and selected services.
If you’re still choosing a date, share a few alternatives. That gives the venue team more options to help you find a fit.
What Should I Bring to My Venue Tour?
You don’t need every detail finalized. Bring:
Your event type and preferred dates
An estimated guest count
Your budget range
A basic agenda or timeline
Inspiration photos or layout ideas
A list of catering, technology and accessibility needs
Include anyone whose input is essential to the booking decision.
