If you’re in charge of planning your company’s holiday party, the pressure is on to make it festive, professional, and memorable... all while staying within budget.


At Gateway Conference Center, we’ve helped hundreds of businesses pull off polished and fun holiday events without the last-minute panic. Below is our tried-and-true Corporate Holiday Party Planning Checklist to keep your team merry and on track.

1. Lock In Your Venue Early

Timing: 6-8 weeks in advance (or earlier if possible!)Holiday dates go fast — especially Thursdays, Fridays, and Saturdays in December. Choosing a venue early gives you flexibility on setup, theme, and vendor options.

2. Define Your Goals & Guest List

Timing: Right after booking your venue ask: Is this a formal celebration, a casual thank-you, or a family-friendly mixer? Knowing your vibe early helps shape the tone of the night and your catering, décor, and entertainment choices.

Tip: Invite RSVPs early so you can plan food, seating, and space needs with confidence.


3. Pick Your Theme or Style

 Timing: 5–6 weeks out. This doesn’t have to mean costumes — just a consistent visual look. Classic holiday elegance, winter white, ugly sweater fun, or even a jazz-and-cocktails vibe can help set the tone for everything from centerpieces to music.

4. Arrange Catering & Refreshments

Timing: 4–5 weeks out. Your food and beverage setup depends on the time of day and style of your event — seated dinner, stations, or cocktail-style reception. Be sure to consider dietary needs and whether alcohol will be served.

5. Plan for Entertainment or Engagement

Timing: 3–4 weeks out. A little entertainment goes a long way. Depending on your budget and culture, options include:

  • Live music or DJ

  • Awards ceremony

  • Photo booth or 360 camera

  • Holiday trivia or raffles

  • Employee superlatives or giveaways

Sound systems, microphones, and screens are available onsite at Gateway.


6. Finalize Décor and Layout

Timing: 2–3 weeks out. By this point, you should have a guest count and vendor plan. Work with your venue on a floor plan for food stations, mingling areas, photo ops, and dance floor (if needed). 7. Communicate Details to Guests

Timing: 1–2 weeks out. Send out a reminder with parking info, event start time, dress code (if any), and fun extras like “Bring a toy for our donation drive!” or “Get ready for a surprise gift!”
